Kuali Build is an online application. You can access Kuali Build in your web browser
and other Internet-enabled devices.
Open an internet browser (e.g. Chrome or Firefox) and go to https://fresnostate.kualibuild.com/.
You will log into Kuali Build by using Fresno State’s Single Sign On (SSO). In the
login screen that appears, enter your Fresno State username and password, then click Login. You may also be asked to complete DUO two-factor authentication.
The Kuali Build homepage will load in your browser.
When you first log into Kuali Build, you’ll be taken to the homepage. Here you will
see a list of available apps and some navigation options at the top of the screen.
The navigation options are: Home, Action List, and My Documents.
Home: Allows you to view all the apps that are available to you. They are separated
by My Apps (apps that you’ve created or have been shared with you), and Home (apps that are available through your organization. You can click on any of the app
icons to view or edit them.
From the Action List you will be able to see work items that have been assigned to you and that are incomplete.You
may have a red number appear next to the Action List. This number indicates the number
of work items you need to complete. You can click on any of the entries to view that
document.
My Documents allows you to see forms that you have created. It is divided into two areas: Submitted
and Drafts. You can click on any of the entries to view your document.
If you have been assigned to approve, acknowledge, or perform a task on a submitted form, Kuali Build will email you alerting you your attention is requested.
If you were assigned as a form approver, you must take action. You can Approve the request, Deny the request, or send the
form back to the submitter or a previous reviewer with comments. Approvals typically
pause all other steps in a workflow until a decision has been made, so it is advised
you review the form as soon as you can.
If you were assigned as a form acknowledger, you will indicate that you have seen the form. Unlike an approver, an acknowledgement
step does not pause the workflow.
If you were assigned a task on a submitted form, you must take action. Viewing the form will give you instructions
and an option to Mark as Complete when you finish the task. Tasks typically pause all other steps in a workflow until
they have been marked as completed, so it is advised you perform the task as soon
as you can.
Finding Forms you need to Review
You can access forms you need to review from either the notification email or your
Action List directly in Kuali Build. The Action List is where you can find approvals, tasks,
and acknowledgements that have been assigned to you but are incomplete. This includes
forms that you have submitted but have been sent back to you by a reviewer.Accessing a Form via the Notification Email
When you are assigned a form to approve or acknowledge, you will receive an email
with a Begin Review link.
Click the Begin Review link in the email to open a browser window with the form.
Accessing a Form via Your Action List
Log in to Kuali Build with your Fresno State credentials
At the top center of your home screen, click Action List. There may be a number next to the text alerting you of the number of forms requiring
action from you.
You will see a list of forms with information such as who submitted it and the date
they were submitted (“Created On”). The rightmost column will have the action that
is required by you.
Click any row to be taken to that form.
Approving, Acknowledging, or Completing a Task on a Form
Open the form you want to approve or acknowledge, which will open in a new browser
window or tab.
If you are performing a Task on a form, you will see a box with instructions at the
top of the screen.
On the left side of the form, you can toggle Review to Status to see the workflow steps the form will go through and what step the form is currently
on.
Toggle the switch back to Review to return to the main form.
In the main form, you may have questions you need to fill out, such as e-signature
or a comments field. Click in a field to edit it.
On the right side of the form (or underneath the form if your browser screen is thin)
under Actions, you can choose to Approve, Deny, Send Back the form to the previous step (for example, the previous reviewer), or Save your changes to the form and continue later. If you Save your changes, you’ll later
open your form from the Action List to continue.
Some options will ask you to fill in comments. These are optional. Enter any comments
in the box, then click your form action again.
You’ll see a confirmation that the form has been approved. You can close the tab –
you’re done!
